Who we are
This website is operated by Utopia Ultimate Software Solutions, registered in Poland under KRS 0000870903, NIP 6772458713, REGON 387570105, with its registered address at ul. Iwony Odrowąża 20/3, 30-009 Kraków, Poland ("Utopia", "we", "us"). Utopia is the data controller for the personal data described in this notice.
What data we collect
The only personal data this website actively collects is what you submit yourself through the contact form: your email address and the text of your message. We do not ask for your name, phone number, or any other field, and we do not currently operate a newsletter or mailing list on this site.
Why we process it, and on what basis
We use your email address and message solely to read and reply to your enquiry. The legal basis for this processing is our legitimate interest in responding to enquiries addressed to us (Article 6(1)(f) GDPR), and, once a working relationship begins, the steps necessary to enter into or perform a contract with you (Article 6(1)(b) GDPR). We do not use contact-form data for advertising or profiling, and we do not sell or rent it to third parties.
How the message is handled
When you submit the contact form, your email address and message are sent as an email via Amazon Simple Email Service (AWS SES), operated by Amazon Web Services, to our inbox at info@utopiasoft.io. Your email address is also set as the reply-to address so we can respond to you directly. The form does not write your data to a database; the only copy that persists is the resulting email, in the same way any email you send us would.
Processors
We use Amazon Web Services (AWS SES) as a processor to deliver contact-form submissions by email. AWS processes this data on our behalf and under our instructions, for the sole purpose of transmitting the message. We do not currently use any other third-party processor for personal data submitted through this site.
Retention
We keep contact-form emails for as long as reasonably necessary to handle your enquiry and any resulting correspondence or engagement, and afterwards for as long as needed to meet our own legal, accounting, or record-keeping obligations. We delete or anonymise messages that are no longer needed for these purposes.
Your rights
Under the GDPR, you have the right to request access to, correction of, or erasure of your personal data, to object to or restrict our processing of it, and to request a copy of it in a portable format. If you believe our processing is unlawful, you also have the right to lodge a complaint with your local data protection authority - in Poland, the Urząd Ochrony Danych Osobowych (UODO).
